Booking Terms

These Booking Terms apply to proposal and event services provided by Pop The Q Proposals and Events Ltd.

Please read these terms before making payment. By paying the £50 deposit, you confirm that you have read and agreed to these Booking Terms and our Return and Refund Policy.

1. Your Booking

Your booking will be based on the date, time, location, setup and services agreed with you in writing.

Please check that all the information on your quotation or invoice is correct. Let us know as soon as possible if anything needs to be changed.

Your date is not secured until we have received the £50 deposit.

2. Payments

A £50 deposit is required to lock in your booking. This amount will be deducted from the total cost.

The remaining balance must be paid no later than seven calendar days before the event date.

Bookings made within seven calendar days of the event must be paid in full when confirmed.

If payment is not received by the agreed deadline, we may treat the booking as cancelled.

3. Cancellations and Rescheduling

All cancellations and rescheduling requests must be made in writing.

Refunds, cancellations and changes of date are handled in accordance with our Refund Policy.

4. Changes to Your Setup

Any changes to the agreed setup, location, timing or services must be requested as early as possible.

Changes are subject to availability and may result in an additional charge. We will confirm any additional costs before making the change.

We will create your setup as closely as reasonably possible to the agreed design. Minor differences may occur because of the venue, available space, lighting, weather, stock availability or natural variations between decorative items.

Where necessary, we may use a suitable alternative of a similar style, colour and value.

5. Venue Permission and Access

You are responsible for:

  • Obtaining permission from the venue for the setup
  • Confirming that the requested decorations and services are permitted
  • Providing the correct venue address and contact details
  • Arranging suitable parking and unloading access
  • Informing us about stairs, lifts or other access restrictions
  • Ensuring the setup area is clear and available at the agreed time
  • Giving us enough time to safely complete the setup

This includes checking whether the venue permits candles, rose petals, cold sparks, balloons, electrical equipment and other requested items.

We are not responsible for delays, additional costs or changes caused by venue restrictions, late access or inaccurate information supplied to us.

Additional waiting time, parking, access or staffing costs may be charged where appropriate.

6. Outdoor Setups and Weather

For outdoor bookings, you should arrange a suitable indoor or covered backup location wherever possible.

We may adjust, remove or replace parts of a setup if wind, rain or other conditions make them unsafe. This may include arches, candles, balloons, cold sparks, electrical equipment and lightweight decorations.

We will always prioritise the safety of our customers, guests, staff and equipment.

Weather-related cancellations and rescheduling will be handled in accordance with our Return and Refund Policy.

7. Hire Equipment

Unless stated otherwise, our arches, signs, candles, lanterns, plinths and other reusable decorations remain the property of Pop The Q Proposals and Events Ltd.

You are responsible for taking reasonable care of our equipment while it is at the venue. Please do not move, alter or remove items without our permission.

You may be charged the reasonable repair or replacement cost for equipment that is lost, deliberately damaged or damaged through misuse by you, the venue or your guests.

8. Collection and Setup Removal

We will agree on a suitable collection or removal time where equipment is being left at the venue.

The customer or venue must ensure that we can access the equipment at the agreed time. Additional charges may apply if collection is delayed or a further journey is required.

9. Third-Party Services

Some bookings may include services supplied by third parties, such as venues, photographers, videographers or other event suppliers.

Third-party services may be subject to the supplier’s own terms, availability and cancellation policy. We will make this clear where applicable.

We are not responsible for a third party’s acts or omissions where the customer has booked that supplier directly.

10. Photography and Marketing

We will not use identifiable photographs or videos of you for promotional purposes without your permission.

If you give permission, content may be used on our website, social media pages and marketing materials. You may withdraw permission for future use by contacting us, although this may not affect content that has already been published or printed.

11. Our Responsibility

We will provide the agreed services with reasonable care and skill.

We are not responsible for delays, changes or losses caused by circumstances outside our reasonable control, venue restrictions, inaccurate information supplied by the customer or the actions of third parties.

Nothing in these terms limits any responsibility that cannot legally be limited or affects your statutory consumer rights.

12. Problems or Complaints

If there is a problem during the setup or event, please tell us as soon as possible so we have an opportunity to resolve it.

Any complaint after the event should be sent to enquiries@poptheq.uk with your booking details and any relevant photographs.
